Sodexo Live! is the exclusive caterer at the Orange County Convention Center. As such, all sampling requests must be submitted to and approved by Sodexo Live! Sampling requests must be submitted to Sodexo Live! by Oct. 28 using the Sampling of Consumables Guidelines Approval Request & Liability Application/Waiver that can be downloaded here.
A company/organization may only distribute samples of food and beverage products that the company/organization manufactures or distributes in its normal day-to-day operations.
Distribution of full-size cans and bottles or any product above the sizes noted below will result in a catering charge from Sodexo Live! of 50% of the standard Sodexo Live! retail cost of a similar or comparable item.
Samples may only be distributed in such quantities as noted below.
Food – 2 oz. servings or less
Non-Alcoholic Beverages – 2 oz. servings or less
Alcoholic Beverages – 0.5 oz. servings or less (alcoholic beverages must be served by a trained, Sodexo Live! bartender)
If approved to distribute samples, since you will be distributing food or beverage not provided by Sodexo Live!, IAAPA requires you to obtain additional insurance coverage and provide a certificate of insurance. The certificate of insurance should be submitted using the Certificate of Insurance Form found in your Exhibitor Resource Center under the “Exhibitor Required Forms” section. If exhibitors will be preparing any food on-site, you MUST be compliant with the OCCC Fire Marshal Regulations. In addition to IAAPA’s Certificate of Insurance form, exhibitors must also submit the OCCC Cooking & Open Flame Form to the OCCC Exhibitor Services Department.
If your food preparation requires a Fire Watch detail, IAAPA will cover the cost of this requirements if you place the order through the OCCC Exhibitor Services Department by October 17. Fire Watch services that are not ordered by October 17 will be billed to the exhibitor by OCCC. For additional information, please see the Fire Watch section of the Booth Design & Display Guidelines.
Exhibitors distributing samples from their booth should factor space into their booth design for attendees that line up to receive a sample. It is the exhibitor’s responsibility to ensure any lines extending outside of their booth space do not negatively impact other exhibitors or block access to aisles. If exhibitors are unable to control the line outside of their booth space, it will be considered a violation and that exhibitor will be fined $500 and lose their seniority for three (3) years.
