IAAPA Expo Exhibitor Sustainability Pledge
In an effort to make IAAPA Expo more sustainable, IAAPA is inviting exhibitors to participate in the IAAPA Expo Exhibitor Sustainability Pledge.
It is easy to participate. Below is a list of ways exhibitors can practice sustainability efforts during IAAPA Expo. We ask each company willing to take the pledge to select seven or more items and commit to them for IAAPA Expo.

- Use 100% LED lighting.
- Power down all displays, monitors & booth lighting after show/setup hours. If it cannot, it will be put into energy saving (sleep) mode.
- Select staff accommodation as close to the venue as possible to minimize transport emissions. Use public transport, carpool or walk whenever possible.
- If using vehicles, ensure drivers turn off engines while waiting to load or unload.
- Submit show orders electronically instead of printing order forms. Use the online Exhibitor Services Guide.
- Use reusable booth structures instead of single-use setups. Booth structures have been used at previous events or will be used at future events.
- Use reusable flooring. Flooring has either been used at previous events or will be used at future events.
- Display elements are reused from past events or will be reused at future events.
- Display elements contain a minimum 30% recycled content.
- Display elements include lightweight and sustainably sourced materials e.g. recycled aluminum components.
- Use low-VOC paints and coatings.
- Buy local: Use local suppliers for required building materials.
- Graphics are reusable and either used at previous events or will be used at future events.
- Graphics and signage are produced on 100% recyclable substrate.
- Plan shipping timelines to avoid air freight. Use lower-emission alternatives such as sea, rail, or road transport.
- Shipments are consolidated into a single shipment.
- Polystyrene is not used in booth shipment (i.e., packing peanuts, Styrofoam, #6 or foam plastic).
- Use recyclable packaging (no mixed-material or non-recyclable).
- Ensure all packaging is reused or recycled after the event.
- Padding materials and exhibit crates are reused for shipping during move-out.
- Use cleaning products that are certified with a recognized ecolabel.
- Participate in a local donation program by providing materials eligible for donation; plush, games, giveaways, t-shirts, rides, supplies, etc.
- Recycle badges and lanyards at the conclusion in the bins located near the building entrances.
- Reduce printed materials by at least 20% to previous shows and use on-demand distribution and digital alternatives (QR codes, links, download files).
- Don’t hand out physical giveaways (alternatives could be digital content access, entries to a prize draw or experience, or a charitable contribution).
- Ensure giveaways are reusable, practical, and made from sustainable materials (e.g. recycled, responsibly grown natural fiber, non-toxic materials).
- Electronic giveaways should be durable, useful, and free from batteries (alternatives could be hand-powered flashlights or solar-powered calculators).
- Use 100% recycled paper for all printed materials.
- Use the lead retrieval system to capture show leads instead of collecting business cards.
- Order seasonal and local produce to help reduce your carbon footprint.
- Food and beverage served within the booth will use reusable ware, or recyclable non-plastic alternatives if reuse is not feasible.
- Host a water cooler within the booth and encourage attendees to use refillable bottles.
- Don’t use or provide any single-use products (cups, plates, cutlery, cans, PET bottles, etc.).
- Choose suppliers that follow fair labor practices and respect human rights.
- Hire local staff and source materials responsibly to minimize transport emissions.
- Ensure your booth is accessible to all visitors, including those with disabilities.
Exhibitor Sustainability Pledge
Login to your Exhibitor Resource Center to complete the Exhibitor Sustainability Pledge form with your selections by Oct. 10 to participate.
In return for your company's commitment to IAAPA's sustainability program, the IAAPA sustainability logo will be added to your booth sticker on-site and you'll receive a digital badge added to your listing in Connect+.
