ALL exhibitors, regardless of booth size or display type, must complete the Certificate of Insurance Form by Friday, Oct. 3.
IAAPA has contracted a basic general liability policy on behalf of each exhibitor of $2 million general aggregate and $1 million per occurrence coverage.
The cost is $100 per exhibiting company and the fee must be paid with the exhibitor’s contract. This covers each exhibiting company, so they are not required to submit a customized certificate with show information to IAAPA for review.
Exhibitors should still carry their own insurance; this is additional coverage that IAAPA is contracting on behalf of the exhibitors.
This is a time-savings benefit to both the exhibitor and IAAPA.
Exhibitors conducting any of the below activities in their booth will need to carry additional insurance coverage:
Displaying a dynamic device or ride (per ASTM 747-06) which allows audience participation
Cooking or using any open flame device
Using flammable materials
Serving or sampling food or beverage not provided by Sodexo Live!, the exclusive caterer at the Orange County Convention Center.
Exhibitors that are required to carry additional coverage must provide IAAPA with a Certificate of Insurance (COI) including a minimum of the following:
US$3 million general aggregate
US$2 million per occurrence
The policy coverage dates must start on or before November 13, 2025 and not expire until after November 23, 2025.
The COI must include the following on the Description of Operations:
IAAPA, Orange County Convention Center, GES, their entities, subsidiaries, agents, representatives, officers, staff, volunteers and employees, as additionally insured for IAAPA Expo 2025, November 13-23, 2025.
The Certificate Holder must be: IAAPA, 4155 West Taft Vineland Road, Orlando, FL 32837
The Certificate of Insurance must be provided to IAAPA by uploading it to the Certificate of Insurance Form found in your Exhibitor Resource Center by October 3.
