WHAT IS A HOSTED BUYER?
A Hosted Buyer is a qualified attendee with decision-making authority and purchasing power, selected to participate in one of two tailored program tiers.
Each tier includes a curated experience of pre-scheduled meetings, exclusive networking opportunities, and premium event access.
In exchange for participation in scheduled meetings with IAAPA exhibitors, hosted buyers receive valuable benefits, ranging from complimentary registration to full travel sponsorship (based on tier).

If you don’t meet the criteria, you can still attend IAAPA Expo by registering as a general attendee.
Participation Requirements & Policies
Expand all- A hosted buyer commits to scheduling a minimum of six (Tier 2) or twelve (Tier 1) appointments with exhibitors during IAAPA Expo Asia, IAAPA Expo Europe, IAAPA Expo Middle East, and IAAPA Expo. These appointments can comprise a combination of individual meetings, stand/booth presentations, and pre-scheduled appointments.
- Be required to book appointments with exhibitors using IAAPA’s online system. We require between six and 12 appointments, although you're welcome to make more.
- Only one hosted buyer application will be accepted per buyer. In the event of more than one application being received, the first application will be processed.
- Acceptance into the hosted buyer program is at the discretion of IAAPA. A hosted buyer who does not meet the qualifying criteria will be given the opportunity to attend as a visitor.
- IAAPA reserves the right to decline a hosted buyer’s application without providing a reason.
- IAAPA reserves the right to cancel the participation of a hosted buyer, including after the buyer’s acceptance into the program; for example, should it become apparent that the buyer is unlikely to fulfill their obligations and commitments to the program.
- IAAPA cannot allow entry to people under the age of 21.
- A hosted buyer is required to attend the IAAPA Expo closest to their area of business for the pre-determined numbers of days.
- Hosted Buyers must arrive by 9 a.m. local time on Day 1 of the Expo.
- Round trip airfare (Tier 1 only)
- Up to three night’s accommodation (room only) at a 4- or 5-star hotel (Tier 1 only)
- The hosted buyer badge gives you access to the trade show floor, education sessions, and opening ceremony
- Exclusive access to the Hosted Buyer Lounge
- Meals
- Personal extras at hotel
- Hotel upgrades
- Taxi fares arriving/departing outside the buyer program
- Visa/Visa waiver application fees
If you become unable to participate in the program, you may cancel your registration without penalty up to ten days before the Expo. Cancellation requests must be received in writing to [email protected]. Any Hosted Buyer canceling after this deadline, or failing to show for a scheduled meeting, will not be permitted to participate in this program in future Expos and may result in not receiving flight reimbursements.
