Registration is Open – BOOK YOUR STAFF NOW

You can register your booth staff, book your event tickets here. To register your booth staff, use the same password as for the access to the Exhibitor Hub, which you will have received already in your booth confirmation letter. If you forgot your password, retrieve it by clicking on “forgot your password”.

Booth Fee Deadline - IMPORTANT

The booth fee deadline of 31 May has now passed. All fees were due to be paid by this date. If you have not done so already, please get this paid as soon as possible by contacting [email protected] Please note, that if you have not paid in full for your booth you will not receive exhibitor guest passes when they become available.

Book Your Hotels and Travel Early - REMINDER

We remind all exhibitors about booking your accommodation and travel in advance. Use exclusive deals for IAAPA exhibitors and act fast as Amsterdam is expected to be busy in September.

 Exhibitor Services Guide - UPDATES

The Exhibitors Services Guide went live in April. Recent updates include:

Best Exhibit Awards – NOW OPEN

The IAAPA Best Exhibit Awards competition recognises the best booth presentation in three categories based on booth size including the design, branding, staffing, product in booth, and overall appeal. NEW: In 2024 we are introducing the Image Award for the most outstanding exhibit booth at IAAPA Expo Europe. Entries will be automatically entered for the Image Award

Travelling to the UK?  Apply for Your Visa Early!

If you or members of your team require a visa to travel to the UK for IAAPA Expo Europe, we strongly recommend applying as early as possible starting here. While standard processing times are typically around three weeks, appointment availability and processing times can vary by country. Applying well in advance of your travel dates will help avoid any unnecessary delays.  If you require an official visa invitation letter you can provide the relevant information during the registration process via the Exhibitor Resource Centre (ERC) and clicking “Exhibitor Registration”.  At the same time, share your exhibitor guest code with your customers and prospects so they can register and request their visa invitation letters, if required.

Compulsory Forms and Documentation Due by 24 July:

• Stand Layout Form 
• Risk Assessment (All exhibitors)
• Method Statement (Space only exhibitors)
• Construction Phase Plan (Space only exhibitors)
• Stand Builders Public Liability Insurance (Space only exhibitors) 
• Fire Safety Certificate (Only applies to exhibitors displaying inflatables)

Important: Critical Order Deadlines and Early Bird Discounts!

• Please note all GES electrical orders must be submitted by the strict deadline of Friday 14 August. Orders received after this date may not be fulfilled. Order here.  For best pricing on GES services, all orders must be placed by Monday 10 August. Order here
• Please note for all venue pipe and rigging orders must be submitted by the strict deadline of Sunday 9 August. Orders received after this date may not be fulfilled. Order here.  The advanced rate deadline for venue piped and rigging orders is Wednesday 5 August. Order here

Drive Traffic to Your Stand – Exhibitor Guest Codes Available

Each exhibitor receives an allotment of free registrations for their customers and prospects to attend the Expo for free. To access your guest code and options to share with your customers, login to the ERC and click the link to Exhibitor Registration.  For full information about the Exhibitor Guest Program click here. 

Sustainability Certification & Pledge

IAAPA Expo Europe 2026 has been approved as a Certified Sustainable Event by Greentime. As an exhibitor, you can support these efforts by following the Sustainability Guidelines here.

Simple ways to contribute:

• Staff awareness of IAAPA's sustainability commitments and certification.
• Serve sustainability-certified coffee (if applicable)
• Offer a vegetarian food option (if applicable)
• Use eco-labelled cleaning products (if applicable)
• Minimize physical giveaways

You are also invited to join the voluntary IAAPA Exhibitor Sustainability Pledge by committing to at least seven practical sustainability actions during the Expo. It's a great opportunity to showcase your sustainability efforts while contributing to a more sustainable event.

Press Conference Opportunities at IAAPA Expo Europe 2026

Do you have a groundbreaking product launch, major company milestone, or industry-shaping announcement to share? IAAPA invites exhibiting companies with significant and newsworthy updates to apply for a press conference during IAAPA Expo Europe 2026 in London. Carefully review the Press Conference Guidelines and submit your request by 7 August 2026.

IAAPA Expo Europe has an interactive floorplan, and exhibitor directory to help attendees find your company faster and easier than ever before.  To make the most of it, your Exhibitor Profile should include a clear description, targeted keywords, and the right product categories so you show up in searches and get noticed. To update your profile, login to the ERC and select “Complete Your Profile.”
