Registration is Open – BOOK YOUR STAFF NOW

You can register your booth staff, book your event tickets here. To register your booth staff, use the same password as for the access to the Exhibitor Hub, which you will have received already in your booth confirmation letter. If you forgot your password, retrieve it by clicking on “forgot your password”.

Booth Fee Deadline - IMPORTANT

The booth fee deadline of 31 May has now passed. All fees were due to be paid by this date. If you have not done so already, please get this paid as soon as possible by contacting [email protected] Please note, that if you have not paid in full for your booth you will not receive exhibitor guest passes when they become available.

Book Your Hotels and Travel Early - REMINDER

We remind all exhibitors about booking your accommodation and travel in advance. Use exclusive deals for IAAPA exhibitors and act fast as Amsterdam is expected to be busy in September.

The IAAPA Best Exhibit Awards competition recognises the best booth presentation in three categories based on booth size including the design, branding, staffing, product in booth, and overall appeal. Exhibitor Guest Passes – NOW AVAILABLE

Each exhibitor receives an allotment of free Exhibitor Guest Passes, for their guests to attend the Expo for free. To access your guest code and options to share with your customers, login to Exhibitor Registration then click the Exhibitor Guest tab. You can share the link or code with your customers and prospects. It’s important they register themselves due to the unique Single Sign On process to IAAPA.org.  

Have you Registered your Booth Staff Yet?

Don’t forget to register your booth staff through the Exhibitor Registration site. To access, login to your eBooth using your company password and click the Exhibitor Registration link. If you cannot locate your password, contact [email protected].

Exhibitor Sustainability Commitment – SIGN UP

Last year more than 50% of exhibitors signed to the IAAPA Expo Europe Sustainability Commitment. By following recommended actions, we can reduce the impact of Expo.

Giveaways - avoid plastic packaging and offering merchandise with batteries. Flyers - replace printed materials with digital formats. Furniture - choose rental equipment where possible. Signage – create evergreen content, with recycled materials and eco-friendly ink.

Submit your form by 26 July and receive a green sustainability logo on your booth sticker.

How to Access the Exhibitor Resources Centre 

If you experience any difficulties logging in to the Exhibitor Resources Centre, please refer to our step-by-step instructions here.

Exhibitor Required Forms
Every IAAPA Expo Europe exhibitor will find the necessary forms and documents requiring immediate action in the Exhibitor Required Forms section of their Exhibitor Resource Centre. These must be submitted by all exhibitors, even if only to confirm that the subject of a particular form does not apply to you.

Review Past Due Compulsory Forms

All exhibitors are required to submit several forms to IAAPA before being permitted on the show floor. Most important are the Booth Layout Form and Audience Participation Form both of which are past due. Get started by logging into the ERC to avoid a potential violationafter the Expo.

Last Chance! - Sign up to the Exhibitor Sustainability Pledge 

Select seven or more suggested items to exhibit in an environmentally and socially responsible manner in Barcelona. Those exhibitors who sign up will be highlighted on on-site digital signage, in the official event app Connect+, and receive the sustainability logo on their floor sticker on-site. Login to the ERC now to show your commitment! 

Get Recognised – Apply for a Brass Ring Best Exhibit Award 

As booth designs come into IAAPA for approval, we have seen the effort exhibitors are making to showcase their company and products to buyers during IAAPA Expo Europe. If you are a space only exhibitor, apply for the Best Exhibit award free of charge.  It will only take you a minute to complete.  Find out more here and apply online now.

Job Fair returns to IAAPA Expo Europe in 2025. It will take place on Thursday, 25 September 2025 - 13:00 – 13:45. This is your opportunity to meet future employees and support new talent. You do not need to be actively hiring. Please contact Lewys at [email protected] to register interest for a free table.    

Special Offer! Any exhibiting company with a table booked at Job Fair, will receive three job postings for 30 days free of charge on Job Board. 

Plan in Advance to meet Venue Safety Requirements

During move-in and move-out periods, the following Personal Protective Equipment (PPE) requirements will be strictly enforced:

• High-Visibility Vests/Jackets: Mandatory for all exhibitors, contractors, and staff while on the show floor.  Please note these are note
• Hard Hats: Required for anyone working at height during move-in and move-out.  Working at height includes, but not limited to, climbing ladders or step stools to install or dismantle booths, using lifts, scaffolds, or platforms to hang lighting, signage, or AV equipment, and working on raised structures or truss systems above the floor

These measures are in place to ensure the safety of everyone working on-site. Anyone not wearing the required PPE will be denied access to the exhibition floor.  We appreciate your cooperation in keeping our expo safe and compliant.

In just a few short days, IAAPA is ready to welcome everyone to Barcelona for the largest IAAPA Expo Europe ever! Please share this with your entire on-site team!

Access to Attendees During the Expo

Now is the time to download IAAPA’s mobile app, Connect+ ensure you can make the most of your exhibiting experience.  With Connect+ you can:

• Showcase your products and services to attendees.
• Schedule meetings and network with attendees (who may become future clients!)
• Connect with buyers before, during and after the Expo.

All of this will drive traffic to your booth, so get started now! Make sure to set-up your company’s digital booth including:

• Update your company description, contact details, and social media links.
• Upload your company’s logo.
• Feature new products and upload press releases.
• Customise your availability for in-person meetings (default is always available).

Note, each on-site team member will need to have a unique email through Exhibitor Registration to access the app.

It’s Not Too Late:  Invite Your Customers to Attend for Free!

Each exhibitor receives a complimentary allotment of Exhibitor Guest registrations for customers and prospects to register for free.    Login to the Exhibitor Resource Center (ERC) and click the Exhibitor Registration tile to get started. Login instructions are here.  Exhibitor guest registrations may be used on-site so feel free to share throughout the Expo!

On-site Support for Exhibitors

IAAPA and our official contractors are available on-site to provide any assistance you may need! Please find these services available: 

Exhibitor Services – 4foreverything (official contractor) and ServiFira (catering, rigging, IT etc) will have exhibitor services available in the Customer Services lobby, Level -1. DSV (on-site handling) will be located in Room A in Hall 2 during move-in and out and on show days. 

IAAPA Operations Office – Room B, Customer Services, Level -1. The IAAPA operations and floor management teams will assist with general questions about your booth, concerns regarding set-up of neighboring exhibits, or to answer IAAPA questions. Floor managers will monitor the show floor to ensure exhibitors comply with the show rules in the Exhibitor Services Guide . 

IAAPA Intellectual Property Office – Room B5, Barcelona Suites, Level +1. IAAPA’s Intellectual Property attorney will be on-site beginning Monday, 22 Sept. beginning at 1 pm to assist with any IP issues. 

IAAPA Safety Inspector – Room C, Customer Services, Level -1. IAAPA Safety Inspection team led by TÜV NORD Nederland will be available for any concerns about approval of dynamic devices. 

IAAPA Sales Office – Reception area, Barcelona Suites, Level +1. See below for more information. 

Book Exhibit Space, Advertising and Sponsorship Options

To get first-hand information on exhibit, sponsorship and advertising opportunities please visit the IAAPA Sales Office in the reception area of the Barcelona Suites, Level +1.

IAAPA Sales Office opening hours:  Mon 8:00–17:00, Tues-Wed 8:00-18:00, Thurs 8:00-16:00.

The office is responsible for booth sales for the regional Trade Summits and the following expos:

• IAAPA Expo Europe 2026: ExCeL London, Show Floor: 22 – 24 September 2026
• IAAPA Expo Asia 2026: Hong Kong Convention & Exhibition Centre, Hong Kong, Show Floor: 10 - 12 June 2026

Free Coffee/Tea in IAAPA Exhibitor Lounge

Come and relax with a complimentary cup of coffee/tea and cookies in the exhibitor-only space. Located in the reception area, Barcelona Suites, Level +1 next to the IAAPA Sales Office. 

Opening hours are the same as the IAAPA Sales Office.

Getting to and Parking at the Fira Gran Via, Barcelona

The Fira Gran Via, Barcelona is easily accessible by all forms of transport including train, metro, trams, with buses stopping in front of the venue or at the Europa Fira. View the map here.

If you decide to transport via car, please park in car parks A or B as shown here. Exhibitors can purchase a parking ticket in advance for discounted pricing through the Fira Webshop.

Reminder – Driving in Barcelona with a non Spanish number plate.  If you plan to enter Barcelona or its metropolitan area with a vehicle registered abroad, you must register in advance. Your vehicle must meet the environmental requirements set by the Barcelona Low Emission Zone (LEZ). If it meets the requirements you may drive without restrictions.  If it does not meet the requirements you can apply for daily permits (up to 10 per year) to drive within the Barcelona Ring Roads LEZ. Click here to register and for more details.

Sustainability:  Thoughtful Thursday

As part of our Thoughtful Thursday initiative, and to align with our sustainability goals, we will once again be removing all meat options from the menus in the dedicated catering outlets within the expo. This initiative highlights our commitment to reducing environmental impact, celebrating plant-based alternatives, and encouraging everyone to make more mindful choices for a sustainable future.

Badge Pick-up On-Site

Exhibitors will need to collect their badges on-site at the South Access entrance lobby. Registration opens Sunday afternoon. See the full schedule here. Exhibitors may collect their entire team’s badges by one person, but any reprints will be charged a reprint fee. If you haven’t registeredyour on-site team yet, please do so in advance to save time on-site. 

Food Options for Booth Staff

The Fira Gran Via, Barcelona offers breakfast, lunch, drinks and small bites for your team and attendees visiting your booth during the Expo. While there are several concession options within the Fira, they are expected to be busy so this will save your team time by having the food delivered right to your booth. View the Mini Market options and full catering options here. Note, no outside food or beverage is permitted to be brought inside the Fira. 

Move Out Notes

Even while you plan for move-in and show days, be sure your contractor and on-site team is aware of the tear-down timing. Thursday, 25 Sept. the Expo closes at 16:00. The first hour only hand carry items and dismantling inside the stand is permitted. Please keep the aisles clear while the aisle carpet is removed. Approximately 17:00-17:30 the loading doors will open, and the full dismantling will begin. Refer to the event timetable here for the full schedule. 

Exhibitors must remove all materials from their booth. Any items including booth construction materials or crates left at the Fira Gran Via will be invoiced for the waste with a 20% surcharge added. As well, the exhibitor will receive a violation  with a loss of exhibitor seniority and a monetary fine. Please be sure to review the policies and make arrangements before you depart.

Support the IAAPA Foundation Charity for Future Talent with Chocolate!

IAAPA is committed to supporting the next generation of the attractions industry’s talent. For the third time, a fundraising initiative dedicated to supporting the IAAPA Foundation and the next generation of attractions industry professionals will take place at IAAPA Expo Europe.  

All the money raised will be used to inspire and support life-changing careers in the global attractions industry by providing scholarships, supporting professional development experiences, and building awareness for opportunities. IAAPA will match the contributions provided by IAAPA Expo Europe participants.  

IAAPA Foundation booth will be located in the registration area, South Access

Four ways to support: 

• Buy an IAAPA Foundation Chocolate Bar from Xócala. The IAAPA Foundation Chocolate Bar will be available to purchase online as part of the show registration, and on-site at the IAAPA Foundation booth in the South Access lobby of IAAPA Expo Europe at Fira Barcelona.
• Give an open amount contribution to the IAAPA Foundation at the IAAPA Foundation booth and online, using a QR code.
• Visit the HB Leisure booth (1-1418), make a small donation, and play a fun game for a chance to win a prize!
• Charge your phone at one of the IAAPA Expo Europe charging stations, and all money will be given to the Foundation.
• 20 Sept:                  Place your Floral order
• 23 Sept:                  Lead Retrieval
