All exhibitors must complete and submit and upload the required documents in the Exhibitor Resource Centre by 24 July 2026.
Shell Scheme Exhibitors MUST submit:
- Stand Layout form
- A risk assessment to cover the build, open and breakdown of the stand - template available here
Space only or special design exhibitors of any size, and exhibits displaying inflatables, MUST submit:
- Detailed stand layout plan including stand elevations and dimensions
- 3D drawing/visual
- Detail of any items to be rigged from the roof and the materials being used for these items
- A risk assessment to cover the build and breakdown of the stand - template available here
- A method statement to cover the build and breakdown of the stand - template available here
- A construction phase plan - template available here
- A copy of your stand builders public liability insurance showing a minimum cover of €3,000,000 and the dates the policy is valid.
- A fire safety certificate, valid for the relevant dates and provided in English (only applies to exhibitors displaying inflatables)
If a stand is over 4m high and has rigged items which are not proprietory then full structural calculations will be required and additional costs will be incurred.

Please note that space only exhibitors must provide a wall between their stand and any neighboring exhibitors that must be a minimum of 2.5m in height. 3m deep stands maximum height for walls and display components is 2.5m.
Stand design drawings must be submitted online to IAAPA Show Management by 24 July 2026. Any exhibitor attempting to build an exhibit without IAAPA approval will not be permitted to set-up or will be forced to close their space until the design has been approved. In addition, late form submissions are subject to a fine and/or loss of seniority as outlined here.
