Important Information and Policies (in alphabetical order)
Expand allAnimals (with the exception of guide dogs for persons with a visual impairment) are prohibited in any part of the HKCEC unless being used as some form of exhibit, display or performance, in which case the Licensee should apply to the Event Manager at least 1 month in advance of the Licensed Period, at the same time presenting all relevant permits or licences issued by the Hong Kong Government.

Only Helium-filled balloons are permitted, except the Grand Hall, all exhibition halls and Public Circulation Area; plain air-filled balloons are permitted in all areas.
Only 1 bottle of portable compressed air of domestic size is allowed to be stored within the HKCEC. Prior approval for this must be obtained from the Event Manager, and a fire extinguisher must be placed next to the compressed air bottle.
Confetti devices utilising compressed air in excess of 5psi are prohibited in all Meeting Rooms, Chancellor Room and Bauhinia Room.

General hall cleaning will be provided by HKCE. Any exhibitor that wishes to have their individual exhibit cleaned (cleaning of tables, wiping of chairs, sweeping of booth interior), please contact Pico at [email protected]. All structures, empty pallets, empty wooden cases, empty wooden crates, plastic boxes and exhibit packing must be cleared by the respective exhibitors and service contractors. Fees may apply for exhibitors not removing materials.
- Suspended Fittings – The suspension of stand fittings or lighting fittings for exhibition stands from the ceiling structure of HKCEC will not be permitted without HKCEC’s prior approval.
- Fixings to the Floor – Fixings to the surface of the floors to secure structures and similar items of stand fittings are not allowed. Any damage to the floor caused by unauthorized fixings will be repaired by HKCEC at the expense of the Licensee.
- Fixings to Catwalk, Ceiling Structure, Etc. – No fixings will be permitted to the catwalk or ceiling structure.
- Adhesive Tape – Use of adhesive tape to fix carpets or other materials to the floors must remove the tape after use without damage to the floors. Should the floor surface be found damaged, marked or with tape residue, HKCEC will repair or clean up the floor at the expense of the exhibitor.
- Nothing shall be posted, nailed, screwed or otherwise attached to columns, walls, floors, or other parts of the building or furniture.
Cooking during the Scheduled Exhibition must be approved by the Event Manager and must conform to the following regulations:
- approval must be obtained at least 3 months in advance from the Event Manager for any cooking to be conducted within the IAAPA Expo Asia Area;
- the use of naked flames, LP gas or flammable liquids is prohibited;
- only electrical cooking equipment may be used, and such equipment should be installed with an appropriate exhaust/filtering apparatus. If the equipment is facing an Aisle, the stove top must be shielded on three sides by panels of at least 30cm in height, to avoid spillage of cooking oil or hot water;
- exhibitors are responsible for ordering sufficient power supply to support their electric cooking appliances;
- booths with cooking activities that generate excessive grease and smell must be installed with charcoal-filtered range-hoods to extract fumes (based on the size and number of cooking ranges used) to minimise indoor air pollution;
- only 1 bottle of portable compressed air in domestic size is allowed to be stored within the building. Prior approval must be obtained from the HKCEC and a fire extinguisher must be placed within or near the stand;
- booths with sales or distribution of soft ice-cream must be equipped with piping and drainage and installed with a wash-hand basin;
- for regulations regarding water and drainage supply and distribution in exhibition halls
- a single approved fire blanket (list available on Hong Kong Fire Services website (www.hkfsd.gov.hk) or suitable fire extinguisher must be provided for each Stand containing electric cooking appliances
- the Licensee must comply with all Relevant Legislation and Regulations relating to the temporary provision and preparation of food
- certain cooking methods which generate excessive smoke and strong smells, including (but not limited to) deep-frying, grilling and Yakitori cooking, are strictly prohibited
Exhibitors of Public food exhibitions must also observe HML’s Public Food Show Policy. Details can be obtained from the HKCEC.
For exhibitors to distribute food or beverage samples which are relevant to the theme of the specific exhibition. Exhibitors must observe the Food Sampling Guidelines for Non-Food-Themed Exhibitions. Details can be obtained from IAAPA Show Management.

Pico and HKCEC forms are priced in Hong Kong Dollar (HKD). If you are unclear about any pricing, please check with the individual vendor to verify the currency.
The use of radio-controlled or otherwise remotely controlled aerial devices (drones), other than inside an approved demonstration area, is prohibited. The Licensee will bear absolute responsibility for any injuries caused by drone operations including in approved demonstration areas.
If exhibitors intend to operate such aerial devices (of any style, design and size), the Licensee must submit details to the Event Manager for approval at least 1 month before the start of the Licensed Period.

IAAPA has contracted a basic general liability policy on behalf of each exhibitor of US$2 million general aggregate and US$1 million per occurrence coverage. The cost is US$125 per exhibiting company and the fee must be paid with the exhibitor’s contract. This covers each exhibiting company, so they are not required to submit a customized certificate with show information to IAAPA for review. Exhibitors should still carry their own insurance; this is additional coverage that IAAPA is contracting on behalf of the exhibitors. This is a time-savings benefit to both the exhibitor and IAAPA.
Any exhibitor displaying an amusement ride or device (per ASTM 747-06) which allows audience participation, using flammable materials, or serving food or beverage items that is the exhibitor's own product, will need to carry US$3 million general aggregate and US$2 million per occurrence and provide IAAPA with a copy of that certificate via the Audience Participation Safety Form & Ride Registration or via email at [email protected] by 1 May 2026. Insurance COI should include the following information on the certificate: IAAPA, PICO International (HK) LTD, APT Showfreight Limited, their entities, subsidiaries, agents, representatives, officers, staff, volunteers and employees, are additionally insured for IAAPA Expo Asia 2026, 09 - 12 June 2026. The sprinkler system and the heat/smoke detection systems are essential elements of the HKCEC’s Automated Fire Alarm (AFA) system. It is crucial that Stands and Structures do not adversely affect the operation of these systems, i.e. that they do not restrict the flow of sprinkler water from above, or the detection of heat and smoke rising from below. The following requirements must therefore be observed:
(a) Stands and other Structures must not have solid or hard ceilings that defeat the AFA system by being impenetrable to water and by allowing heat and smoke to accumulate within them. Please refer to Clause 3.2 (a);
(b) ceiling coverings made of light, fire-retardant, water-permeable cloth or light non-combustible wire mesh are permissible, as long as they are in strict compliance with the ‘Certificate of Fire Service Installations and Equipment (FS251)’ and do not restrict the effectiveness of the AFA system);
(c) if fabric is used as a ceiling covering, details of the fabric material(s) must be submitted to the Event Manager 3 months in advance for approval, strictly in accordance with the provisions of Clause 3.9 below;
(d) fabric ceiling coverings may not cover a continuous area of more than 100sqm. Any greater coverage requires a separation gap between coverings of 0.6m;
(e) the ceilings of Stands should always remain open. If solid materials are installed that cover part of the ceiling, whether for decorative or support purposes, the solid materials must be no wider than 0.1m each at their widest point and spaced a minimum of 1m apart;
For any extensive Stands and Structures design that is beyond the abovementioned requirements, please notify the Event Manager at least 3 months prior to the Licensed Period. The Licensee may be required to install additional measures, such as an alternative fire suppression system and/or fire extinguishers.

- Cargoes which are moved directly to exhibition site should NOT arrive at exhibition hall earlier than 6 June before the build-up period. ONLY APT Showfreight Ltd. (official freight forwarder and on-site handling agent) is permitted by the organizer in having full right to manage onsite logistic throughout the show period.
- Only the Official Freight Forwarder is allowed to operate mechanical handling equipment like hand-push trolley, hydraulic jacks, pallet trucks, forklift, etc. inside the loading dock of the venue and inside the exhibition hall.
- Stands must be set-up and ready for inspection and the surrounding aisles clear of exhibitor’s equipment/debris no later than 17:00 on Tuesday 9 June.
- Early dismantle of stand and exhibit space is strictly prohibited. Monetary penalties may be applied for early tear-down.
- Exhibitor shall vacate the Exhibit Hall and the facilities and return the equipment in the same condition as originally furnished to the exhibitor, normal wear and tear excepted. In the event the Exhibit Hall or the facilities are not so vacated, then IAAPA, APT, and/or Pico is authorized, at the expense of the exhibitor, to remove and store or return to exhibitor, or unless the Exhibitor’s failure is due to an event beyond the control of the Exhibitor such as strikes or Acts of God, to treat as abandoned and discarded property and dispose of all goods, wares, merchandise and property of the exhibitor. IAAPA, APT and/or Pico shall not be liable for any damages or loss to such goods, wares, merchandise or other property which may be sustained either in the course of such removal, or in the course of transit, or by virtue of the IAAPA’s, APT’s and/or Pico disposal of the property. The Exhibitor hereby expressly releases IAAPA, APT and/or Pico from any such claims for damages of whatsoever kind or nature.
It is strictly NOT allowed to produce, sell and exhibit in Hong Kong SAR for any gaming machine and /or amusement equipment that contains the gambling function such as returning coins, returning points, and/or returning steel balls for exchanging money in the end.
In case any exhibitor is planning to ship over similar category of amusement equipment to IAAPA EXPO ASIA 2026, please submit your List of Exhibits to APT Showfreight in advance for further checking. APT Showfreight will check case by case and provide the best solution to all exhibitors.
Meanwhile, please kindly avoid videos, pictures, texts and other promotional materials that promote obscenity, gambling, violence and other illegal activities.

Any machine, equipment or other item that generates fumes, exhaust or smoke must be fitted with an effective exhaust system to ensure it causes no irritation or harm to HML staff, workers, contractors, the public or other attendees in the Licensed Area.
The use of internal combustion engines in the Licensed Area is strictly prohibited.

Based on requirements by the HKCEC, all exhibits with individual nett weight of 1,000 kg and more need to provide the following information to APT Showfreight by 1 May to obtain approval:
- Dimensions of individual machines
- Nett weight of the machine
- Functional – Whether machine is operating during show. If affirmative, provide dynamic loading when machine is operating. If not to provide the static loading
- Footprint of all machines. Is the machine base flat or on castors/legs? If on castors/legs, please provide footprint of the castors/legs. To check the loading on venue floor slab, the dimensions that are in contact with the floor is of most importance.
- Provide catalogue/specification/drawings
- Booth design(layout) indicating position of machines on the booth as well as booth number
If steel plate is required to be provided at the venue for the exhibits and/or a Professional Engineer Certification is required.
Please note that if the following is not submitted to APT Showfrieght by the deadline or if exhibits exceeds the floor loading capacity of the venue during the venue’s on-site audit, the exhibits will not be allowed to enter the building. See the Shipping Guideline for details.
A) noise level within the IAAPA Expo Asia Area and Public Circulation Area may not exceed 70dB
B) noise level in Harbour Road Entrance and Expo Drive Entrance may not exceed 50dB
IAAPA offer free venue-wide Wi-Fi for all attendees. If you need Internet as part of your exhibit display, we suggest you order a hard-wired line.
A Licensee or any of its related parties intending to use laser products, radioactive substances or special effects must obtain approval from IAAPA Show Management before 01 May 2026 and comply with all Relevant Legislation and Regulations.

Official contractors have been appointed for various services so as to ensure a more efficient and regulated build-up and dismantling. Please refer to the list of Official Contractors for details. Unless otherwise stated;
- In adherence to safety requirements, only the official contractor can carry out electrical power supply, compressed air supply, and water drainage and pipe installations.
- Exhibitors may appoint their own contractor for stand design and construction, must pay a refundable damages deposit. In case of damage found, there will be deduction of services and damages. Please refer to the Non-Official Contractor page for full details. Exhibitors are responsible and liable for their appointed contractor’s observance of all rules and regulations.
- Exhibitors are required to return all the forms to the relevant parties by the deadlines, otherwise on-site services may not be guaranteed.
- The service of official contractors are for the convenience of exhibitors, and show management will accept no liability in respect of any contract between exhibitors and such contractors for the negligence or default of any such persons, their servants and agents.
- Where mechanical handling within the exhibition halls is required, only the official freight forwarders will be appointed.
Only water-based paint may be used on site. If paint-spraying equipment is to be used, the system must be approved by the Event Manager. Protective measures must be taken to ensure that no paint is spilt or sprayed on the surfaces or finishes of the HKCEC.
Under the provisions of the Dangerous Goods Ordinance (Cap.295), the Crimes Ordinance (Cap.200) and other Relevant Legislation and Regulations, it is illegal for anyone in Hong Kong (except authorised operators) to possess, convey or store any fireworks (including but not limited to fire crackers, sparklers and Roman candles).
Special effects such as pyrotechnic displays require a licence issued by the relevant local authorities. Overnight storage of pyrotechnic materials within the HKCEC is prohibited. Special effects equipment (such as strobe lighting, laser lighting and smoke machines) requires a safety certificate to be provided by suppliers, a copy of which should be presented to the Event Manager before the start of the Scheduled Exhibition. Suitable fire protection equipment and warning notices must also be provided as appropriate.
Permission will always be subject to HML safety considerations and any applicable Relevant Legislation and Regulations. HML may request the Licensee to make suitable public notices or announcements warning attendees of the presence of special effects.

- General security will be provided by show management beginning move-in through move-out. Exhibitors and their staff will not be allowed in the exhibition hall after official hours.
- All personnel in the exhibition halls must wear identification badges at all times.
- Please note that you may not use your own staff or personnel from any other security agency for in-booth security services. Contact IAAPA Show Management at [email protected] if you wish to arrange individual booth security.
- For security and safety reasons, product movement in or out of the halls during the show hours is strictly prohibited.
- Neither IAAPA or HKCEC shall be in any way liable or responsible for any loss or disappearances, of any object, item, good or materials of any kind, from Exhibitor’s stand space or from the exhibit hall, except for such loss or disappearance as is due to intentional and tortuous theft committed by the employees of the Association or HKCEC. The Association and HKCEC provide certain security services, including providing advice on security measures, as a convenience to Exhibitor’s but the responsibility for the security and safety of an Exhibitor’s area, product and property rests solely with the exhibitor.
- DO NOT bring in vehicle which does not match with exhaust standard in the event area.
- The amount of gasoline must not exceed 1/8 of its fuel tank capacity.
- The amount of CNG or LPG must not exceed 10% of its fuel tank capacity.
- The fuel tank or gas tank must be firmly sealed.
- Battery terminals must be disconnected during the show.
- DO NOT turn on the vehicle engine during the show.
- Plywood or carpet with minimum 10 mm. thickness must be paved under the vehicle for weight distribution and oil stains prevention.
- Moving the vehicle, carpet or plywood sheets are required to protect venue floor.
- Exhibitor shall submit the detailed plan to HKCEC 3 months in advance and obtain HKCEC's prior permission before implementation.

Authorised vehicles displaying the correct official pass are allowed to access established loading and unloading areas for limited periods, as determined by HML. Vehicles parked without authorisation may be removed at the owner’s expense, and/or may be subject to an impound fee by HML.
Only authorised personnel of the HKCEC may operate the sliding gate doors and shutters at the loading dock for freight vehicle entry.
Vehicles used within the HKCEC must remain confined to the exhibition halls (when permitted), the loading and unloading areas, and/or the marshalling area. The movement of vehicles within the HKCEC will be directed by authorised HML personnel.
