Both IAAPA and Fira Barcelona Gran Via encourage cashless payments, but cash will be accepted including on-site registration.

Admittance for children 17 years of age and younger is complimentary, but children must wear an identification wristband (available at Registration on-site) at all times. Anyone age 18 years or older is required to pay the full registration fee to access the trade show floor. IAAPA Expos are business-to-business events. Adults should monitor their children at all times while attending the Expo, in particular on the trade show floor. Unattended children will have their parent or guardian called and will be asked to leave the show floor. Thank you for your cooperation!

Children under 18:

• Must be accompanied by an adult at all times at the Fira Barcelona, Gran Via.
• Are not allowed to attend ticketed events and the education conference.
• Are not allowed on the trade show floor during exhibitor move in or move out, or early/late access hours.
• IAAPA recommends that only single strollers or wheeled luggage be used on the trade show floor to avoid trip hazards and injury.

The cloakroom is located in the South Access entrance foyer. The cost per coat or bag is €3.00 and must be paid via credit card. Please note the cloakroom space is limited, and items will be accepted on a first-come, first-served basis. If the cloakroom is full, you will need to make alternative arrangements. No bags and coats can be left overnight.

Transport to all Special Events and Opening Reception organised as part of the Expo will be organised by IAAPA. Participants will be departing from a dedicated IAAPA Bus stop located by the South Entrance. View detailed map with locations.

IAAPA Expo Europe location rotates every year. The process of selecting the future venue takes place years in advance and is decided by IAAPA members in committees. The process includes the following steps.

IAAPA EMEA M&S Committee has established a number of venue selection criteria.

1. First tier city
2. Exhibition venue in reasonable distance to city centre and hotels
3. Easily accessible, international flight connections
4. Strong attractions industry in the host country
5. Availability in third or fourth week of September with show open days Tuesday to Thursday
6. Must have a sustainability policy and a sustainability officer
7. Must have an accessibility policy

Based on the above selection criteria IAAPA team comes up with a list of venues.
IAAPA EMEA M&S Committee creates a shortlist.

Selections are then voted on by IAAPA Global M&S Committee.
IAAPA Board of Directors provides the formal approval.

Fira Barcelona Gran Via has underground car park facilities (for vehicles below 2.05m) along its perimeter (see venue map). Parking “A” at the South Access is open from Monday to Friday from 07:30 – 20:00. For large vehicles higher than 2.05m, two parking areas are located near the venue. View the venue map.

We welcome all guidance and assistance dogs. No other dogs/pets permitted.

An interfaith and meditation room is located in Room B15 in the Barcelona Suite, Level 1.

There are several catering outlets at Fira Barcelona Gran Via. They can be found outside and inside the venue offering a variety of food formats and cuisine types. You can also dine at the Nuclo restaurant located adjacent to the South Access foyer.

Special Events taking place on Monday, 22 Sept. that are sold out offer a standby first come first serve line option. Anyone interested to attend, make your way to the registration area in the South Access Lobby on Level 0 to check availability and book your last-minute spot.

There are no strollers or trolleys allowed on the show floor. Please refer to the Cloakroom information should you need to store items.

Sustainability continues to be a priority for IAAPA Expo Europe with a strong focus on ongoing improvement. New initiatives for 2025 include collecting data on attendee travel, enhancing waste and recycling practices, and reviewing catering to reduce single-use items. Exhibitors are encouraged to take part in an expanded sustainability program featuring on-site follow-ups and opportunities to share their sustainability journeys and best practices.

There are several transportation options to get to IAAPA Expo Europe:  

• By metro – The nearest metro station is Fira and Europa/Fira stations on the L9 South, and Foc station on the L10 South.
• By bus – Fira de Barcelona is served by TMB lines H12, V1, 46, 65 and 79.
• By train – Barcelona-Sants station, 4 km from the exhibition centre, is connected to a comprehensive regional, national and international railway network. Lines L8, S3, S4, S8, S9, R5, R50, R6 and R60 (Europa/Fira station).
• By taxi – Barcelona and its metropolitan area have more than 10,500 taxis, easily identifiable by their yellow and black appearance.
• By car – If you decide to come by car, underground parking is available in car parks A and B (for vehicles below 2.05 m). Exhibitors can purchase a parking ticket in advance for discounted pricing through Fira Barcelona.
• By private hire vehicles VTC – Several private hire companies operate in Barcelona with most popular being Uber and Cabify.

IAAPA has secured various hotel and travel discounts for Expo Europe participants. Barcelona is a busy tourist destination, and it is recommended to book early in advance.

The VIP lounge will be located on the first floor CC1, Level 1 room 1.3. and accessible to only VIP Experience attendees and hosted buyers.

IAAPA will provide visa letters or letters of invitation for attendees and exhibitors during the registration process. Your visa letter will be sent to you by email upon completion of registration. Please contact [email protected] for any additional help needed.

An IAAPA Expo Europe name badge is required for admission to all Expo activities, events, and services, including the trade show, shuttle buses, and Opening Ceremony. It also provides IAAPA members with free admission to the Education Conference. Nonmembers must pay a separate fee to access the Education Conference program. Name badges must be worn at all times while in the Fira Barcelona, Gran Via and while participating in any Expo events. No buyer or attendee can be admitted with an exhibitor badge, nor should an attendee or exhibitor try to gain entry to the trade show with a badge that indicates a name other than their own. Exhibitors must also wear their badges at all times. Badges can be revoked at IAAPA’s discretion. Any lost or misplaced badges must be repurchased at full cost. If lost badges are later found, the purchaser may submit the found badge and a letter requesting a refund to IAAPA. IAAPA will evaluate each refund request on a case-by-case basis.

Only written requests to [email protected] received on or before 30 days prior to the start of the Expo, will receive a refund for registration, less a 10% processing fee. Special event tickets, charity items, and upgrades are non-refundable under any circumstance. Cancellations due to illness or emergency will be evaluated by IAAPA on a case-by-case basis.

Education Conference takes place from Tuesday - Thursday 23 - 25 September and offers a comprehensive programme designed to inspire and set industry professionals for growth. With over 170 speakers sharing insights on relevant industry topics, attendees will gain practical knowledge and fresh perspectives to apply to their businesses. 

Participation in the Education Conference is free for IAAPA Members.

EDUTours and events that are not sold out can be purchased at Registration in the South Access lobby of the Fira Barcelona, Gran Via. All breakfasts, lunches, and receptions are ticketed events with a separate registration fee. Space is limited and may sell out. There are no printed tickets. Tickets are tied to the badge which will be scanned for access to the event. No one under the age of 18 may participate in EDUTours or special events.

Groups of five or more receive 20% discount of the Expo entry – IAAPA members only.

All attendees will be required to provide a picture ID to collect their badge or purchase tickets on-site. Students and Faculty will be required to provide a current student or faculty ID from a degree-granting university or college.

Tickets for special events are available for pre-purchase online as well as on-site based on availability. Each registrant may only purchase one ticket per event. Tickets are tied to the badge and not printed. Tickets are non-refundable. Contact Registration to switch a ticket to another registrant. You must be registered for the Expo and at least 18 to attend any ticketed function. 

Regardless of rain, all outdoor special ticketed events and EDUTours will continue as scheduled.

All EDUSessions content will be provided with English captions.

In case of emergency, call +34 93 233 4100 and report what has happened. The closest First Aid room for IAAPA Expo Europe 2025 is located at Loadbay 2-3 next to Gate 3.14.

Venue security staff and hall managers will be present in the halls and at the entrances. The nearest police station is located at South Access, ground level (0) Rooms L and M.

To ensure participants’ safety, IAAPA uses the venue emergency procedures in cooperation with Fira Barcelona Gran Via, the local medical team as well as the on-site fire brigade, to be prepared for any situation which might occur during IAAPA Expo Europe 2025. In the event of an emergency please call the Fira Barcelona Gran Via dedicated emergency no: +34 93 233 4100.

Please always secure your belongings and never leave bags, mobile devices, laptops, show badges, or other valuables unattended, even for a moment.

Scooters are not permitted on the show floor. A limited number of wheelchairs can be requested at the Information point in the South Access foyer. Please note suitable ID will be required.

The Quiet Room is located in B14, Barcelona Suite, level +1, access from Hall 2 and offers a dedicated space for parents with small children and anyone searching for a quiet space.
