All exhibitors must complete the Booth Layout Form by 1 March 2027.
Space only or special design exhibitors of any size, and exhibits displaying inflatables, MUST submit:
- Detailed booth layout floor plan including stand elevation, electrical fittings, colors.
- Materials and audio visual equipment to be used with dimensions in scale (not less than 1:100).
- Front and side view drawing(s) with booth height.
- 3D Perspective drawings.
- Elevation views showing clearly all dimensions, graphics, etc.
- Structural calculations / drawings proving structural stability, weight loadings, colors and details of the materials to be used for booth etc.

Please note that space only exhibitors must provide a wall between their booth and any neighboring exhibitors that must be a minimum of 2.5m in height. 3m deep booths maximum height for walls and display components is 2.5m.
Booth design drawings must be submitted online to IAAPA Show Management by 1 March 2027. Any exhibitor attempting to build an exhibit without IAAPA approval will not be permitted to set-up or will be forced to close their space until the design has been approved. In addition, late form submissions are subject to a fine and/or loss of seniority as outlined here.
All space-only exhibitors are required to pay an inspection fee to the stand vetting and safety team. This fee covers the review and approval process to ensure all stand designs comply with the required safety and construction standards.
Once exhibitors receive their IAAPA-approved booth layout, the exhibitor and/or their contractor must submit the approved plan to BLG for health and safety review. To avoid the 20% late surcharge for submissions received after 1 March, exhibitors are strongly encouraged to submit their plans as early as possible.

To submit your required Booth Layout Form, login to your Exhibitor Resource Center, access the Booth Layout Form, and answer these three questions by clicking “Yes” or “No”.
1) Is your contracted booth a space only?
2) Are you displaying an inflatable or inflatable product in your booth?
3) Are you requesting a Variance to the booth display guidelines?
If you answer “Yes” to any of the above questions in the Booth Layout Form, you must submit design files of your proposed booth layout to IAAPA for approval. Design files should include diagrams with top, front, and side views of your exhibit, and indicate all width, depth, and height dimensions for all booth elements, including any hanging signs or structures. Also include the dimension for the space between the top of your structure and the bottom of any hanging signs or structures.
Please provide IAAPA ten (10) working days to review/approve your booth layout. Confirmation will be sent to the email provided on the form with approval or noting any required corrections.
