- When arranging your travel, please be sure to arrive onsite by early afternoon on Sunday, January 19 for table set-up and early registration. There will be a sponsor meeting beginning at 4:00 pm. You will then have the opportunity to set up your display table prior to the Welcome Reception.

All sponsors have the opportunity to include one fun giveaway item in the attendee welcome bags. The anticipated quantity is 175-200.
We kindly ask you to email Aarti Maharaj at [email protected] with details about the giveaway so we can provide IAAPA approval. Approval is required for all giveaway items.
Please keep in mind that IAAPA is committed to promoting safe rider behavior. Brochures or other marketing materials may not depict riders with hands in the air or holding loose articles, and all riders should be holding onto provided safety restraints.

If items are not received by January 17th, they may not be included in our distribution plan. Please note that if your items arrive any time before January 14th, additional storage fees may apply. We highly encourage you to follow the below shipping instructions to avoid confusion or delays.

Breakfast, lunch, and scheduled breaks will take place within the Sponsor Display Zone.
All sponsors will receive one 6’ table with a plain tablecloth. You are welcome to provide a custom tablecloth if you’d like. You may include tabletop displays, brochures, giveaway items, business cards, etc., but all items must be fully on the table. IMPORTANT – Pop-up booth backdrops or pull-up signs are not permitted due to limited space in the ballroom.
Tables will be labelled with your company name onsite to assist you. All tables are around the room perimeter, and assigned by random draw after Platinum Sponsors have been assigned to central locations first.
Please keep in mind that this is a display opportunity, not a full trade show. Chairs will not be provided at your table as you are not expected to sit behind your table throughout the event. We encourage your team to sit at the banquet tables, enjoy meals and snacks, network, and mingle with our attendees during all available opportunities.
Power and other services are not provided. If you have special needs, please reach out so we can put you in touch with the venue.
The venue offers exclusive catering services. If you are planning to distribute food or beverage samples, please reach out so we can put you in touch with the venue to seek approval. Restrictions and fees may apply.
Prior to the event, all sponsors will receive three unique codes good for the number of registrations included in your sponsorship package (complimentary staff registrations, complimentary facility operator registrations, and early bird staff registrations). Be on the lookout for an email from Aarti with registration instructions and your custom codes.
One representative from each sponsoring company will have the opportunity to participate in FEC Live! Throughout the event, our host will ask sponsors one question about their products or services. This is your brief chance to shine and share what makes your company unique! More details will be shared at the sponsor meeting on Sunday, January 19, but you can relax! This is a fun, no-pressure activity and nothing needs to be prepared in advance.
PLEASE NOTE: Sponsors will have access to Connect+ once it has been opened to sponsors, and they are registered for the event.
The Connect+ app will be your main source of information during FEC Summit. It will allow you to gain access to the full list of attendees, interact with attendees, schedule meetings, and much more!
Prior to accessing Connect+, you must be registered for the event. It is important that all sponsors register using a unique email address to sync with their Connect+ profile.
All Platinum level sponsors will be recognized via a Connect+ push notification to registered attendees.
To access Connect+, click here. You can also download the mobile app in the App Store or Google Play, although we recommend editing your digital profile on a desktop.
Each sponsoring company has a primary contact for Connect+ who is eligible to make edits for the company profile. This primary contact can also link other registered individuals to the profile. They should all receive an email with access into Connect+.

If you would like to participate, be sure to note the approval windows for post-show emails (January 13 – January 31). Once your campaign is approved by IAAPA, we will put you in touch with the team at Direct Hit Marketing who will deploy your email to the full registrant list (opt-outs excluded).
Final deployment dates will be selected on a first-come, first-serve basis after the approval and testing phases.
