Important Information and Policies (in alphabetical order)
- Animals
-
Animals and pets shall not be permitted into any part of QSNCC, except in conjunction with some form of exhibit, display or performance legitimately requiring the use of animals subject to the approval. As a general rule, no animal other than an animal that qualifies as a “Service Animal”, such as guide‐dog for the vision impaired or police dog as those animals are defined by law, shall be brought onto the property without the prior approval of the Legal / Risk Management Department. This applies regardless of the type of animal or the length of time the animal will be on property.
Animals to be allowed into QSNCC must have a valid license from Department of Livestock Development (DLD) or other relevant agencies in Thailand. The Licensee is encouraged to adopt guidelines set by DLD or other relevant agencies in Thailand, which aim to enhance animal welfare and the professional standard of animal exhibitions and performances. - Balloons, Blimps, Toy Balloons

Floating balloons inside the QSNCC must remain “tethered” to a fixed object and must have approval from QSNCC prior to move‐in of Event. Mylar balloons or balloons made with electricity conducting materials are strictly prohibited inside the QSNCC.
Balloons must be inflated with a non‐combustible gas and the shell of the balloon must be constructed with fire retardant material. The balloon should not be installed or attached to or obstructing any fire‐fighting equipment or installation.
The exhibitor will be responsible for the cost associated with removing any balloons suspended or trapped below the ceiling. Please contact IAAPA show management at [email protected] for more information to apply for approval.
- Booth Cleaning
-
General hall cleaning will be provided by QSNCC. Any exhibitor that wishes to have their individual exhibit cleaned (cleaning of tables, wiping of chairs, sweeping of booth interior), should order service through QSNCC here. All structures, empty pallets, empty wooden cases, empty wooden crates, plastic boxes and exhibit packing must be cleared by the respective exhibitors and service contractors. Fees may apply for exhibitors not removing materials.
- Building Works & Fixings
-
- Suspended Fittings – The suspension of stand fittings or lighting fittings for exhibition stands from the ceiling structure of QSNCC will not be permitted without QSNCC’s prior approval.
- Fixings to the Floor – Fixings to the surface of the floors to secure structures and similar items of stand fittings are not allowed. Any damage to the floor caused by unauthorized fixings will be repaired by QSNCC at the expense of the Licensee.
- Fixings to Catwalk, Ceiling Structure, Etc. – No fixings will be permitted to the catwalk or ceiling structure.
- Adhesive Tape – Use of adhesive tape to fix carpets or other materials to the floors must remove the tape after use without damage to the floors. Should the floor surface be found damaged, marked or with tape residue, QSNCC will repair or clean up the floor at the expense of the exhibitor.
- Nothing shall be posted, nailed, screwed or otherwise attached to columns, walls, floors, or other parts of the building or furniture.
- Currency
-
All QSNCC order forms are priced in Thai Baht. PX System Co., Ltd. forms are priced in United States dollars. If you are unclear about any pricing, please check with the individual vendor to verify the currency.
- Drones
-
- Exhibitors, and Person involved must request a permission document with concerned government unit and provide it to Event Services Department at least 15 days prior to the event date.
- Exhibitors, and Person involved must request approval from show management at [email protected] by 5 April 2024
- Drone must be in good condition while operating.
- Getting a permission from those landlords before flying.
- Studying area floor plan and aerodynamics are a must.
- Preparing emergency plan for an accident, medical treatment and problem solving in the case that drone is out of control.
- Keep up drone maintenance as per manufacturer’s manual
- Proficiency of drone piloted & drone system is a must.
- Drone controller must carry a copy of registration certificate at all time during operating a drone.
- Drone controller must prepare a fire extinguisher during operating and must also apply an insurance valued at least 1,000,000 THB. - per a claim.
- Drone operation that may harm the life, body, property and disturbing others is strongly forbidden.
- Making sure there is no obstruction during drone taking-off and landing.
- Drone must be in the sight of controller during flying. DO NOT use only the drone camera or any similar equipment to control the drone.
- Operating the drone outside the building must receive a permission from Lumpini Police Station and allowed to fly only between sunrise and sunset so that the controller can clearly monitor it.
- Flying must not be over 90 m. (300 feet) height above the ground.
- Drone flying must not infringe human rights & privacy of other persons. Drone flying must not disturb or bother other persons.

- Fire Regulations
-
- Utilizing cardboard boxes as parts of exhibits or displays is not permitted.
- Booths with ceiling are to be provided with an automatic fire extinguishing system for every 9 square meters of covered area
- All decorations, drapes, signs, banners, acoustical materials, hay, straw, moss, split bamboo, plastic cloth, and similar decorative materials shall be flame retardant to the satisfaction of the Centre. Canvas, cloth, cardboard, leaves, or similar combustible materials shall be completely flame retardant. Oilcloth, tarpaper, sisal paper, nylon, and certain other plastic materials cannot be made flame retardant and hence, their use is prohibited. An Official Fire Resistance Certificate must accompany all materials. Draperies used must be inherent fire retardant (IFR) and tagged with a valid IFR property certificate.
- Floor Loading Limit

- Freight Delivery: Move-in and Tear-Down

- Cargoes which are moved directly to exhibition site should NOT arrive at exhibition hall earlier than 25 May or before the build-up period. ONLY APT Showfreight Ltd. (official freight forwarder and on-site handling agent) is permitted by the organizer in having full right to manage onsite logistic throughout the show period.
- Only the Official Freight Forwarder is allowed to operate mechanical handling equipment like hand-push trolley, hydraulic jacks, pallet trucks, forklift, etc. inside the loading dock of the venue and inside the exhibition hall.
- Stands must be set-up and ready for inspection and the surrounding aisles clear of exhibitor’s equipment/debris no later than 17:00 on Monday 27 May.
- Early dismantle of stand and exhibit space is strictly prohibited. Monetary penalties may be applied for early tear-down.
- Exhibitor shall vacate the Exhibit Hall and the facilities and return the equipment in the same condition as originally furnished to the exhibitor, normal wear and tear excepted. In the event the Exhibit Hall or the facilities are not so vacated, then IAAPA, APT, and/or QSNCC is authorized, at the expense of the exhibitor, to remove and store or return to exhibitor, or unless the Exhibitor’s failure is due to an event beyond the control of the Exhibitor such as strikes or Acts of God, to treat as abandoned and discarded property and dispose of all goods, wares, merchandise and property of the exhibitor. IAAPA, APT and/or QSNCC shall not be liable for any damages or loss to such goods, wares, merchandise or other property which may be sustained either in the course of such removal, or in the course of transit, or by virtue of the IAAPA’s, APT’s and/or QSNCC disposal of the property. The Exhibitor hereby expressly releases IAAPA, APT and/or QSNCC from any such claims for damages of whatsoever kind or nature.
- Gaming Equipment with Coin Slots
-
Please be advised that redemption games and prize machines are prohibited to import into Thailand. List of prohibited machines are as follows:
1. Slot machine or similar gaming device
2. Horse Racing Box or similar game console
3. Pachinko or similar game machines
4. Roulette or similar game machines
5. Game consoles that operate using coins, banknotes, cards or by any other means that has a way to play. If the player wins or is able to meet the requirements of the machine specified, there will be coins, banknotes, cards or anything else out of the game console.
6. Components or accessories or chips that specify numbers to be used instead of currency for playing games with game consoles according to items 1-5.

- Hazardous Items (Fumes, Exhaust and Smoke)

Any exhibit or process which generates noxious or toxic fumes, exhaust or smoke shall be so arranged so as to have an effective exhaust system properly connected to the fume exhaust system of the exhibition halls or to the outside atmosphere and be sited pursuant to approved locations. Full details of the exhibit or process and proposed exhaust system shall be submitted to QSNCC for prior approval one month before the first day of the show open. QSNCC can quote for supplying all materials, installing and later removing flues, exhaust ducting, extraction fans, etc. Please contact IAAPA Show Management at [email protected].
- Heavy Machines
-
Based on requirements by the QSNCC, all exhibits with individual nett weight of 1,000 kg and more need to provide the following information to APT Showfreight by 5 April to obtain approval:
- Dimensions of individual machines
- Nett weight of the machine
- Functional – Whether machine is operating during show. If affirmative, provide dynamic loading when machine is operating. If not to provide the static loading
- Footprint of all machines. Is the machine base flat or on castors/legs? If on castors/legs, please provide footprint of the castors/legs. To check the loading on venue floor slab, the dimensions that are in contact with the floor is of most importance.
- Provide catalogue/specification/drawings
- Booth design(layout) indicating position of machines on the booth as well as booth number
If steel plate is required to be provided at the venue for the exhibits and/or a Professional Engineer Certification is required.
Please note that if the following is not submitted to APT Showfrieght by the deadline or if exhibits exceeds the floor loading capacity of the venue during the venue’s on-site audit, the exhibits will not be allowed to enter the building. IAAPA has contracted a basic general liability policy on behalf of each exhibitor of US$2 million general aggregate and US$1 million per occurrence coverage. The cost is US$125 per exhibiting company and the fee must be paid with the exhibitor’s contract. This covers each exhibiting company, so they are not required to submit a customized certificate with show information to IAAPA for review. Exhibitors should still carry their own insurance; this is additional coverage that IAAPA is contracting on behalf of the exhibitors. This is a time-savings benefit to both the exhibitor and IAAPA.
Any exhibitor displaying an amusement ride or device (per ASTM 747-06) which allows audience participation, using flammable materials, or serving food or beverage items that is the exhibitor's own product, will need to carry US$3 million general aggregate and US$2 million per occurrence and provide IAAPA with a copy of that certificate via the Audience Participation Safety Form & Ride Registration or via email at [email protected] by 5 April. Insurance COI should include the following information on the certificate: IAAPA, Queen Sirikit National Convention Centre, Px System Co., Ltd., APT Showfreight, their entities, subsidiaries, agents, representatives, officers, staff, volunteers and employees, are additionally insured for IAAPA Expo Asia 2024, 24-31 May 2024. - Official Contractors
-
Official contractors have been appointed for various services so as to ensure a more efficient and regulated build-up and dismantling. Please refer to the list of Official Contractors for details. Unless otherwise stated;
- In adherence to safety requirements, only the official contractor can carry out electrical power supply, compressed air supply, and water drainage and pipe installations.
- Exhibitors may appoint their own contractor for stand design and construction, must pay a refundable damages deposit. In case of damage found, there will be deduction of services and damages. Please refer to the Non-Official Contractor page for full details. Exhibitors are responsible and liable for their appointed contractor’s observance of all rules and regulations.
- Exhibitors are required to return all the forms to the relevant parties by the deadlines, otherwise on-site services may not be guaranteed.
- The service of official contractors are for the convenience of exhibitors, and show management will accept no liability in respect of any contract between exhibitors and such contractors for the negligence or default of any such persons, their servants and agents.
- Where mechanical handling within the exhibition halls is required, only the official freight forwarders will be appointed.
- Painting
-
Major painting of displays and exhibition materials are not permitted in QSNCC. However, “touch-up” painting of the displays and exhibition materials is permitted in the Exhibition Halls provided such work is undertaken during the Move-In period only and all safety precautions and protective surface coverings are put in place.
These precautions include:- Painting in an area which is properly ventilated
- Use of Non-Toxic Paints
- Covering the floor with plastic overlay or drop sheets
- No painting near the QSNCC’s vertical structures (i.e. walls, columns)
- No washing of paint material within or surrounding QSNCC
The use of spray paint is strictly prohibited within QSNCC. The Licensee is responsible for any damage to QSNCC that is caused as a result of painting and will be liable for the cost of reinstating the damaged area to its original condition.
- Pyrotechnics
-
To display pyrotechnics at the show, person involved must follow rules as below;
- The use of pyrotechnics or any type of pyro special effects must be fit the standards and received a permission from concerned government unit. Person involved must submit this document (แบบ ป5.) to Event Services Department at least 7 days prior to the event date.
- Fire man must stand by throughout the show period.
- Sufficiency fire extinguisher must be prepared and conform with each type of pyrotechnics during show period.
- The height of pyrotechnics or any special effect while display is limited at 60% of the height of the event hall.

- Security

- General security will be provided by show management 24 hours beginning move-in through move-out. Exhibitors and their staff will not be allowed in the exhibition hall after official hours.
- All personnel in the exhibition halls must wear identification badges at all times.
- Please note that you may not use your own staff or personnel from any other security agency for in-booth security services. Contact IAAPA Show Management at [email protected] if you wish to arrange individual booth security.
- For security and safety reasons, product movement in or out of the halls during the show hours is strictly prohibited.
- Neither IAAPA or QSNCC shall be in any way liable or responsible for any loss or disappearances, of any object, item, good or materials of any kind, from Exhibitor’s stand space or from the exhibit hall, except for such loss or disappearance as is due to intentional and tortuous theft committed by the employees of the Association, or QSNCC. The Association and QSNCC provide certain security services, including providing advice on security measures, as a convenience to Exhibitor’s but the responsibility for the security and safety of an Exhibitor’s area, product and property rests solely with the exhibitor.
- Vehicles for Exhibit
-
- DO NOT bring in vehicle which does not match with exhaust standard in the event area.
- The amount of gasoline must not exceed ¼ of its fuel tank capacity.
- The amount of CNG or LPG must not exceed 10% of its fuel tank capacity.
- The fuel tank or gas tank must be firmly sealed.
- Battery terminals must be disconnected during the show.
- DO NOT turn on the vehicle engine during the show.
- Plywood or carpet with minimum 10 mm. thickness must be paved under the vehicle for weight distribution and oil stains prevention.
- Moving the vehicle, carpet or plywood sheets are required to protect venue floor.

- Vehicle Entry Passes (VPE)

Exhibitors and non-official contractor stand builders that need to access the loading dock at the QSNCC to make a delivery, will need to request a VPE in advance. Please contact APT Showfreight. and provide your company name, booth number, and requested date and time.
All trucks must go to marshalling area (The Parq phase II) for registration. When the loading docks are available, APT will issue the badge for the truck and release them from marshalling area to loading dock for unloading on first come first serve basis. The truck must be moved out from loading area immediately when it’s done.
