Non-Offical Contractors
A third-party company that is appointed by an exhibitor is a Non-Official Contractor also known as Exhibitor Appointed Contractor (EAC). Examples include: set-up/tear-down, installation and dismantle (I&D) contractors, audio-visual, floral, etc. Refer to the Official Contractors list to see if your vendor is listed. Exhibitors that are constructing their own booth with their own staff are NOT Non-Official Contractors.
- Comply with all show guidelines noted on the exhibit contract and within the Exhibitor Services Guide.
- Complete the Raw Space/Modified Shell Scheme Exhibitors Form with the outside stand contractor information due to Pico by 23 May 2025.
- Pay the Raw Space/Modified Shell Scheme Deposit.
- Submit an insurance certificate to Pico Concierge.
No EAC will be allowed to work on the show floor without submitting the required forms noted above.

Minimum coverage requirements are:
- Workers Compensation Insurance – Minimum US$1 million or equivalent currency
- Commercial General Liability General Aggregate – Minimum US$2 million or equivalent currency
- Automobile Liability (covering all owned, hired and non-owned vehicles) – Minimum US$1 million or equivalent currency
- The policies for General Liability and Automobile Liability shall include the following wording:
IAAPA, SNIEC, PICO IES GROUP (CHINA) CO., LTD, APT Showfreight Shanghai Co., Ltd, their entities, subsidiaries, agents, representatives, officers, staff, volunteers and employees, are additionally insured for IAAPA Expo Asia 2025, 27 June - 4 July 2025.

- The term “Event” refers to the IAAPA Expo Asia 2025 held in Shanghai, China, 27 June- 4 July 2025 (including move-in and out dates).
- The term “exhibit hall” refers to the contracted halls in the Shanghai New International Expo Center.
- The term “vehicles” refers to all types of motor-driven carts, automobiles, trucks, tractors, etc.
- Non-Official Contractors must remove all gang boxes, ladders or other equipment from the aisle or other common areas by 17:00 on Monday, 30 June as stated in the IAAPA Contract Terms. The Contractor is permitted to store equipment in the Exhibitor’s booth only during installation and dismantle. All equipment needs to be removed from the booth by 30 June in preparation for show opening.
- The Contractor may not to operate a service desk within the exhibit hall. The Contractor must confine its operations with the Exhibitor’s booth space.
- Each Non-Official Contractor must have a true and valid order for service from an exhibitor in advance of the Expo’s first move-in day. The Contractor may not, under any circumstances, solicit business on the trade show floor.
- Any property of the Non-Official Contractor not removed at the close of working hours is left at their own risk. Further, any such property may be moved, removed or stored at the Contractor's expense if it is considered for any reason by IAAPA to interfere with any aspect of the move-in or move-out. IAAPA reserves the right to require payment for returning said property.
- To maintain safety and relieve congestion on the trade show floor, Non-Official Contractors and Exhibitors are not permitted to have electric carts or scooters in the building at any time.
- The operation or use of motorized or mechanical material handling equipment by exhibitors or their appointed contractors is prohibited.
- Non-Official Contractors must abide by the fire and safety and exhibit hall regulations, along with all other prevailing rules and regulations as set forth or amended by IAAPA and PICO IES GROUP (CHINA) CO., LTD, APT Showfreight Shanghai Co., Ltd.
- Exhibitors, representatives of an exhibitor or Non-Official Contractors who need to work past the published move-in hours will need to contact Pico IES Group to pay the fee to work later.
- Non-Official Contractors are not allowed on the trade show floor during show hours. If an Contractors needs access during show hours their exhibitor must register them for an exhibitor or attendee badge.
- Exhibitors are required to return their booth space in the same manner it was received. Exhibitors are to arrange with their Non-Official Contractor the removal of all trash from the exhibitor space after dismantling. IAAPA reserves the right to charge the exhibiting company for any excess trash removed from the booth by the contracted cleaning company.
- Non-Official Contractor will be trespassed from the premises if:
- They are found to be working in any Exhibitor’s booth not submitted to Pico IES Group in advance.
- They breach any of the provisions of the Non-Official Contractor Agreement or rules and regulations established by IAAPA.
- The Non-Official Contractors participation at the show leads to strikes, picketing or other labor action directed at IAAPA.
- They cause other disruptions or unreasonable interference with or inconvenience to IAAPA or any of its customers.
- Contractor badges must be worn by all workers and supervisors of Non-Official Contractors working on the trade show floor. For security reasons, Contractors are not allowed to wear exhibitor badges except during show days.
- Each Non-Official Contractor company responsible for dismantling exhibits at the close of the Expo must have all exhibits dismantled and ready for shipping according to the move-out schedule.
