*Please note stand assembly must be completed no later than 14:00 on Monday, 23 September only minor decoration and dressing is permitted after this time.
IMPORTANT – Monday 23 September
To help ensure that the aisle carpet can be laid on time and the cleaning team have enough time to ensure that the show is cleaned and ready for show open it is compulsory that all empty boxes, storage crates, ladders, unused stand fitting materials, pallets etc. are removed from the aisle by 14:00 on Monday, 23 September. Any items left in the aisles after this time will be removed and the exhibitor will be charged for the removal and storage of these items. Everyone working onsite must be made aware of this procedure.
Safety Requirements during Set-up and Breakdown
Exhibitors and contractors are required to wear Safety Shoes and Hard Hats during the move-in period. Safety items are available to rent or buy at the Hospitality Crew Centre (HCC).

*During the show days exhibitors will have access to the hall from 08:00 to 19:00 CEST, except Tuesday when access begins at 7:30.
Tear Down

Thursday, 26 September | Opening loading doors and dismantling begins of all stands | 17:00 or 17:30 – 22:00 CEST |

*For Health & Safety reasons no-one under the age of 18 is permitted on the show floor during the move in or tear down period. This includes exhibitors and contractors' children.
Access to Halls During Set-up and Dismantling
All exhibitors and contractors that need to access the hall during the build-up period will need to register and wear a BUILD-UP/BREAKDOWN BADGE. This must be ordered through the RAI here. Pick-up will be in the loading docks of Hall 8 and Hall 12. Only on Monday, 23 Sept. may exhibitors enter the hall with their IAAPA exhibitor badge collected from the Registration area (Hall C or Hall F Entrances).
Badges and Passes
During show hours Exhibitor and attendees badges must be worn at all times. If you are seen without one you will be asked to put it on so it is visible. Badge Information
RAI Amsterdam requires all transporters, stand builders and exhibitors that visits to be in possession of a valid badge during build-up and breakdown. Registration is possible via their registration system.
Sustainability and Waste
IAAPA is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment.
To support these goals, you can use the information below in planning your stand at IAAPA Expo Europe
- Walling – use recycled materials or a modular system that can be reused multiple times and avoid creating items that can’t be used again. (This is also quicker and easier to assemble onsite!)
- Flooring - use standard hire items such as carpet tiles that can be re-used at multiple events.
- Signage – use recycled materials with eco-friendly ink where possible and ensure all content is not event specific and remove all dates and times so that it may be reused.
- Audio Visual – use hire equipment or if purchasing new, ensure AV can be reused multiple times.
- Furniture – use hire equipment and/or recycled materials where possible.
In addition – please adhere to the below:
- Minimise packaging and reuse your packing materials.
- Bring only what is needed for the event. Take away/recycle what isn’t distributed at the event.
- Buy products made from recycled materials, or research and prioritise items and equipment that support the use of recycled materials.
- Ensure you have a plan for your stand materials at the end of the event and pre-book cleaning, storage and transportation requirements. This will assist suppliers in optimising resources.
- Turn off all lights and equipment at night.
- Ensure suppliers use modern, energy-efficient technology.
- Ensure contractors use LED, energy-efficient lighting (LED lights use approx. 80% less energy).
- Use local staff and resources to reduce international travel and opt to offset your carbon emissions on flights.
- Remind your drivers to switch off engines when waiting to load or unload.
- Thoroughly check all boxes/crates to ensure you are not transporting goods that are not required at this event .
