Will IAAPA cancel IAAPA Expo 2020 in Orlando due to the COVID-19 pandemic?
While we are continuing to plan for IAAPA Expo 2020 in Orlando, we also understand information and circumstances change almost daily. We continue to monitor those developments and gather input from our members to constantly reevaluate and adjust our plans accordingly. Regardless of the changing circumstances, we realize you need to make decisions for your business and your team.
IAAPA will confirm the status of IAAPA Expo 2020 no later than Friday, September 4.
Why can’t you make a decision before September 4?
We are monitoring COVID-19-related developments daily. Those developments include the status of COVID cases, tracking travel restrictions around the world, and gathering input from exhibitors and attendees. We are also working closely with the numerous vendors and partners who help produce the show.
We understand you may not be able to wait until September 4 to confirm your plans. If that is the case, please accept our sincere apology for any inconvenience or frustration created by this timeline.
What if I haven’t fully paid for my exhibit space?

What are my options if I would like to cancel, and will I incur penalties?
Cancellations remain at the sole discretion of each exhibitor.
We are flexible and have extended current cancellation provisions through Sept. 4 so you can make your decision once you know about the status of the show.
If you cancel by the end of the day on Sept. 4 you will receive a refund of all exhibit fees paid less a $500 cancellation fee. (Exhibitors will not be subject to the 50% or 100% cancellation fee specified on the exhibitor contract if they cancel by the end of the day on Sept. 4.) You also have the option to move the exhibit fees you have paid for 2020 to 2021, with no penalty, if that is what you prefer.
What will happen to my exhibit seniority?
The IAAPA Manufacturer and Supplier Committee voted unanimously to freeze seniority calculations (based on 2019 year-end seniority) going into 2021. All exhibitors who contracted for IAAPA Expo 2020 will not gain or lose any seniority going into 2021 based on their decision to participate or not participate as an exhibitor if they maintain an active 2020 and 2021 IAAPA Membership.
The exception will be provided to 2020 First-Time exhibitors. They gain one year of exhibit history in seniority as long as they maintain an active 2020 and 2021 IAAPA membership.
What are the shipping deadlines for Orlando?
The Exhibitor Services Guide for IAAPA Expo is currently available online. It can be accessed by entering Member ID in both fields. If you are using IAAPA’s official customs freight forwarder, Agility, below are the current deadlines for your freight to arrive in Orlando. The deadline to ship from your home country to arrive by these dates should be discussed with your transportation provider. These deadlines are subject to change.
- Oct. 12 - LCL sea freight to Orlando terminal
- Oct. 21 - FCL sea freight to Miami port
- Oct. 28 - Air freight to Orlando airport
Will IAAPA keep me informed regarding the status of IAAPA Expo 2020?
Updates will be continuously shared through IAAPA communication channels, including e-mails, IAAPA.org, social media, and IAAPA News Daily. We will confirm the status of IAAPA Expo 2020 no later than Sept. 4 at which time we will send an email to all 2020 exhibitors with that update.
