Food & Beverage Sampling and Distribution

For the distribution of Food and Beverage sample products within the exhibit hall, the exhibitor must obtain written approval from SNIEC and all relevant authorities. Distribution and sampling of food and beverage products should be in compliance with the general standards of health, safety, hygiene, sanitation and other specific requirements of the relevant authorities and SNIEC

The following are the guidelines set by SNIEC for distributing sample item:
  • Product liability insurance is required when sample food is distributed in SNIEC.
  • Alcoholic beverages are not permitted to be distributed as samples.
  • Food items must be disposed of in the proper manner established by SNIEC.
  • Distribution of samples in booths requires the “Food Indemnity Form” form be completed and returned no less than 2 weeks prior to show start. Please contact IAAPA Show Management at [email protected].
  • Items dispensed are limited to products manufactured, processed or distributed by exhibiting company or from licensed sources / suppliers only.
  • Food items are limited to one ounce (1 oz.).

Exhibit Booth Cooking

Selling of Food & Beverage in Event Hall
  • SNIEC does not allow selling of food & beverage products inside the event hall area, except for below specific products :
    • Instant/Convenience products for consuming outside of SNIEC such as canned foods, canned drinks, UHT milk, or other products those are already packed in packages.
    • Food products those are cooked & already packed in packages such as pork sausages, dried sheeted pork, pork crackling, etc.
    • In case the exhibitor would like to have products tasting without selling intention,
    • The act must comply with rules & regulations.
    • All above cases are under the exemption of a concession fee.
    • SNIEC does not allow the sale of food & beverage those requires cooking equipment such as stoves, heating machine & equipment, and kitchenware inside the event hall.
    • In case of selling food and beverage mentioned above, organizers and exhibitors must receive permission from the company and strictly follow rules and regulations.
Cooking Area and Selling Area
  • Event Services Department will allocate a cooking preparation space outside the event hall. Exhibitors and Person involved must cook in the allocated area only.
  • Exhibitor has to employ 2 cleaners per day for cleaning this cooking area.
  • Exhibitors, and Persons involved must prevent damage & dirty stain towards carpet, floor, and cooking area by using a ground sheet or plastic mat to cover the area.
  • The size of a ground sheet & plastic mat must exceed the cooking area at least 30 cm.
  • DO NOT put products, equipment or belongings outside of the rental area.
  • In case of failure to comply, SNIEC will warn, stop selling, and issue a disqualification document to other organizers. By this, the exhibitor who breach this regulation will not be able to join any event hosted at SNIEC in the future.
Cooking Equipment
  • Cooking gas is not allowed inside the event hall. Only electrical equipment is permitted.
  • For reheating, only electrical appliances & hot oil are allowed in the event area.
  • Cooking inside building is allowed only by such methods as steaming, boiling, baking and grilling with electrical appliances only.
  • Installation of electrical sockets & lighting for cooking equipment is responsibility of exhibitors. Tools and equipment such as electric wires and sockets must be in safety standard.
Safety Equipment
  • Organizer must prepare 1 fire extinguisher (at least 9 lbs) per 1 standard booth (9 sq.m.)
Smelly Products
  • For smelly products as fermented items and fishes, the exhibitor must keep that kind of item in a smell proof container so that the smell will not disturb others.
Package & Container
  • DO NOT use & bring in all kind of foam containers into SNIEC as per environmental policy.
Products Loading
  • Products loading is allowed only prior to event start time each day or as per specific agreement between organizer & SNIEC.
  • While loading liquid products such as syrup, ice, etc., the exhibitor must lay plastic mats all the way from loading area to the rental booth area.
Cleaning:
  • Cleaning by SNIEC will not include below cases
    • Storing and Moving of products, equipment, or belongings.
    • Oil stains & dirt from cooking & selling of food & beverage.
    • Picking food scraps, trash, and garbage inside the booth.
    • Cleaning the products, equipment, and belonging.
      • Exhibitors, and Persons involved must clean up the service area such as pantry, preparation area, food garbage area. All chairs, tables, and other equipment must be returned to SNIEC in their original condition.
      • Contractors, Exhibitors, and Persons involved must not dispose leftover food in the drainage. In case of found, penalty fee will l be applied, assessed by Event Services Department.
      • Contractors, Exhibitors, and Persons involved must wash utensils at the designated space only.
Other
  • For any damages occurred in the event area, pantry, preparation area, banquet equipment, chairs, tables and SNIEC properties, exhibitors, and persons involved must be responsible for the damage charges assessed by Event Services Department.
  • In case of conflagration caused by exhibitors, and person involved, which requires the external units to relive (SNIEC staff, policeman, fireman, medical team, government sector etc.) Exhibitors and Persons involved must be responsible for all charges of the external units.
  • Event Services Department reserves full rights to considerate additional regulations on case by case apart from above rules and regulations.

Exhibit Booth cooking will not be permitted without the approval of SNIEC. Once the approval of SNIEC is attained, exhibitor must ensure that all the necessary permits from relevant authorities are secured and distributed to all parties. No open flames are permitted. Insurance

If your company is approved to provide food or beverage samples of your product during the Expo, the exhibitor must obtain additional insurance as detailed here:

Any exhibitor using flammable materials or serving food or beverage items that is the exhibitor's own product, will need to carry $3 million general aggregate and $2 million per occurrence and provide IAAPA with a copy of that certificate via email at [email protected] by 23 May. Insurance COI should include the following information on the certificate: IAAPA, SNIEC, PX System Co.,Ltd., APT Showfreight (Thailand) Limited, their entities, subsidiaries, agents, representatives, officers, staff, volunteers and employees, are additionally insured for IAAPA Expo Asia 2024, 28-30 May 2023.
