Exhibitor Information

On-Site Support for Exhibitors

IAAPA and our official contractors are available on-site to provide assistance for exhibitors.

Exhibitor Services – 4foreverything (official contractor) and RAI Amsterdam will have exhibitor services available at the top of escalators Entrance C (exhibitors in Halls 8-9) and Entrance C (exhibitors in Halls 10, 11, 12, and 14). DSV (on-site handling) will be located in the loading area P5A (near Halls 10-12) during move-in and out and in office F001, Level 0 on show days.

IAAPA Operations Office – Holland Room near Hall 10/11 entrance. The IAAPA and floor management teams will assist with general questions about your stand, concern regarding set-up of neighbouring exhibits, or to answer IAAPA questions. Floor managers will monitor the show floor to ensure exhibitors comply with the show rules outlined in theExhibitor Services Guide.

IAAPA Intellectual Property Office – Booth #14511, Hall 14. IAAPA’s Intellectual Property attorney will be on-site beginning Monday, 23 Sept. beginning at 13:00 to assist with any IP issues.

IAAPA Safety Inspector– F001, Level 0 near Entrance F (22-23 Sept. only). IAAPA Safety Inspection team led by TÜV NORD Nederland will be available for any concerns about approval of dynamic devices.

Obtaining a Visa Letter

IAAPA will provide visa letters or letters of invitation for attendees and exhibitors during the registration process. Your visa letter will be sent to you by email upon completion of registration.

Business Centre

The RAI Business Centre is located in the Passage below the Elicium (accessible via Entrance D, take the escalator down) and offers a wide range of services. They are open 9:00 - 14:00 Monday - Friday. You can reach them at:

Cashless Venue

Please be aware that all services inside the RAI will be cashless including the concessions, cloakroom, parking, etc. For on-site registration, IAAPA encourages cashless payments, but cash will be accepted.

Cloakrooms

There are two cloakrooms available to use located at entrance C and entrance F. There is a cost to leave bags and coats, and they cannot be left overnight.

Help and Information Desks On-Site

For attendees: General Info desk located in the foyer near entrance C. For IAAPA member-related queries, make your way to IAAPA Member Lounge.

Members only – IAAPA Member Lounge located in the foyer accessible via the entrance C on the first floor. IAAPA Member Lounge offers a space to relax, check emails, charge devices, and network with a complimentary coffee, tea, or water.

IAAPA Bus Stop

IAAPA bus stop will be located outside of RAI Amsterdam, near the Congress Square at P7. View IAAPA bus stop on the map. It will be used on Monday, 23 September and Friday, 27 September for IAAPA Expo Europe Special Events participants. For more information, please visit the Info Desk in the registration area. Also follow the IAAPA Bus Stop signs when on-site.

IAAPA Foundation Charity for Future Talent

IAAPA is committed to support the next generation of attractions industry’s talent. For the second time, IAAPA Foundation Charity for Future Talent, a fundraising initiative dedicated to support the next generation of attractions industry professionals, will take place at IAAPA Expo Europe. All the money raised will be used on university scholarships and to inspire people to pursue careers in the attractions industry. Each contribution made by participants to the IAAPA Foundation Charity For Future Talent will be matched by IAAPA. The charity booth will be located in the registration area.

On Wednesday 25 September, join the IAAPA Foundation Charity live auction, hosted by Massimiliano Freddi of Wonderwood and Jim Pattison Jr. of Ripley Entertainment and get a chance to bid and win some amazing lots offered by our partners. No registration required. This session is open to everyone with an Expo badge.

IAAPA Member Lounge sponsored by Storibox located in the foyer accessible via the entrance C on the first floor. Take a break or have a morning coffee in this member-only space.

IAAPA Sales Office

Located on the trade show floor in Hall 10 (Booth #10400) gathers exhibit sales information, sponsorship and advertising details, and materials for all upcoming IAAPA Expos and IAAPA Middle East Trade Summit 2025. Submit your contract and choose your booth space for future events.

Medical Assistance On-Site

In case of emergency, call +31 20 549 1234 and report what has happened. Non-emergency can be report to +31.20.549. 1930. There are six First Aid posts with qualified responders able to be dispatched accordingly. The closest for IAAPA Expo Europe 2024 is between Hall 9 and 10-11 and Hall 8 near Entrance F.

Nursing Mother’s / Baby Care Lounge

The Baby Care Lounge is equipped with three comfortable chairs, a baby changing bench with two cushions, a playpen, a refrigerator and a sink with hot and cold water. Access to the Baby Care Lounge is controlled by a key system and the room can be locked from the inside by means of a cylinder lock. The key is available from Reception D on the ground floor of the Elicium by Entrance D and must be returned after use.

Lost and Found / Lost Children

Deliver found items to the RAI counter, located in Entrance C. Items will be uploaded to the dedicated portal.

Lost children will be brought to the RAI service desk in C of F or call the onsite Venue Manager +31 (0)20 549 1110.

Parking

There are several large capacity car parks available for IAAPA Expo Europe visitors around RAI Amsterdam. There are between 3,200 to 5,000 parking spaces – view more information on parking and rates . Also, check IAAPA Expo Europe detailed map.

Pets

We welcome all guidance and assistance dogs. No other dogs/pets permitted.

Prayer (Interfaith), Self-Care, and Meditation Room

An interfaith, self-care, and meditation room is accessible via Entrance D at level -1. The two private cubicles can be closed from the inside for peace and privacy.

Press and Influencer Registration

All press and influencers entering the show floor must have a PRESS or INFLUENCER name badge. A staff member from the IAAPA Press Office must escort press with TV cameras on the trade show floor if they are conducting interviews scheduled through IAAPA’s global communications team. Press should pick up their badges at the press registration counter, located in the registration area in the foyer accessible via the entrance C.

Restaurant and Concessions

There are several coffee bars, food trucks and catering points at RAI Amsterdam. They can be found outside and inside in the venue offering a variety of food formats and cuisine types.

Safety and Security

Venue security staff and hall managers can be contacted on-site, they will be visible in the halls and at the entrances. The nearest police station is located at Politiebureau Amsterdam-Zuid De Pijp.

To ensure participants’ safety, IAAPA uses the venue emergency procedures in cooperation with the RAI, the local medical team as well as the on-site fire brigade, to be prepared for any situation which might occur during IAAPA Expo Europe 2024. Please always secure your belongings and never leave bags, mobile devices, laptops, show badges, or other valuables unattended, even for a moment.

Strollers / Trolleys

There are no strollers or trolleys allowed on the show floor. Please refer to the Cloakroom information should you need to store items.

Sustainability

IAAPA Expo Europe continues its commitment to sustainable practices and operations. Working together with the venue, exhibitors, vendors and attendees we focus on minimising impacts on the environment. Wheelchairs / Scooters

Scooters are not permitted on the show floor. A limited number of wheelchairs are available for rental by visiting First Aid, located between Hall 9 and 10-11 and Hall 8 near Entrance F.

Wi-Fi

Complimentary Wi-Fi will be available on the trade show floor and is intended for standard email and web browsing. Please do not upload/download large files, stream videos, or use anything that requires substantial bandwidth, or the Wi-Fi will not work for you or anyone else.

Cancellation Policy

On or before 30 days prior to the start of the event, attendees and exhibitors will be able to cancel any paid registration and receive a refund, less a €25 processing fee, within the IAAPA Expo registration portal. Attendees and exhibitors are also able to submit written cancellation/refund requests to [email protected] during the same time frame. There are no refunds for registration fees after the 30-day cutoff date. There will be no refund for special event tickets purchased and no refund for charity items benefiting the IAAPA Foundation at any time. Cancellations due to illness or emergency will be evaluated by the IAAPA team on a case-by-case basis. Exhibitors may cancel any complimentary registrations in their allotment through the registration portal at any time prior to the badge being printed at no charge.

Children Policy

All children attending the Expo must be registered. Registration for children 17 years of age and younger is complimentary, but children must always wear an identification wristband (available at Registration). Anyone age 18 years or older is required to pay the registration fee to access the trade show floor.

Children under 18:

Must be accompanied by an adult at all times within RAI Amsterdam.
Are not allowed to participate in tours and special events.
Are not allowed on the trade show floor during exhibitor move in or move out, or early/late access hours.

IAAPA Expo Europe Location Selection Process

IAAPA Expo Europe location rotates every year. The process of selecting the future venue takes place years in advance and is decided by IAAPA members in committees. The process includes the following steps.

IAAPA EMEA M&S Committee has established a number of venue selection criteria.
- 1. First tier city
- 2. Exhibition venue in reasonable distance to city centre and hotels
- 3. Easily accessible, international flight connections
- 4.Strong attractions industry in the host country
- 5. Availability in third or fourth week of September with show open days Tuesday to Thursday
- 6. Must have a sustainability policy and a sustainability officer
- 7. Must have an accessibility policy
Based on the above selection criteria IAAPA team comes up with a list of venues.
IAAPA EMEA M&S Subcommittee creates a shortlist.
Selections are then voted on by IAAPA Global M&S Committee.
IAAPA Board of Directors provides the formal approval.

As the sponsor of the Expos, IAAPA reserves the right to prohibit and prevent the attendance, participation, registration, exhibition or any individual or firm for any reason with the exclusive discretion of IAAPA. IAAPA Intellectual Property Policy and Procedures

IAAPA Board of Directors adopted a policy and procedures document regarding intellectual property for companies who purchase 1) exhibit space for any IAAPA expo, 2) sponsorship for any IAAPA event, 3) or advertising for any IAAPA publications. In general, this policy requires the purchasing company to attest that it owns or has rights to sell the product and in the event of a dispute will abide by a binding arbitration process. We strongly encourage our manufacturers, and consultant members to become familiar with this policy to make sure you comply with its provisions. Getting to RAI Amsterdam By Train

The Amsterdam RAI railway station is located a stone's throw from the RAI. Just a seven-minute walk from RAI Amsterdam, the station is easily accessible by train from all over Netherlands. More information

Train Bookings

Getting to RAI Amsterdam By Metro or Bus

From Amsterdam Central Station take metro 52. This line provides the fastest connection from Amsterdam Central to the RAI, Europaplein stop. You can also take tram 4 and get off at the Europaplein stop.

From Amstel Station, you can reach RAI Amsterdam with metro 51 (get off at Amsterdam RAI station) or bus lines 62 (get off at Europaplein) or 65 (get off at Scheldeplein).

Metro 50, which runs between Amsterdam Sloterdijk en Gein, also stops at the Amsterdam RAI station. More Information

Getting to RAI Amsterdam By Bicycle

There are bicycle racks at all entrances around the RAI site. Additional racks are placed at events when many people are expected to arrive by bike. Motorbikes and scooters can be parked free of charge next to the bike racks at the Elicium: follow the route P-RAI 7 to get there. More information

Getting to RAI Amsterdam by Car

Directly on approaching Amsterdam via the motorway A1, A2 or A4 and entering the ring road (A10), the RAI is indicated on the sign boards. RAI Amsterdam is located along-side the ring road (exit 9). From the exit the route to the car parks is indicated. More information
